Creating Quotes

Professional quotes are the first step to a successful order. dVersum helps you create legally compliant and visually appealing quotes.

Quick Start

  1. Click on Quotes in the sidebar
  2. Click on New Quote (or Cmd+K > "new quote")
  3. Select a client
  4. Add line items
  5. Save and export as PDF

Adding Line Items

For each line item you can specify:

  • Description - What is being offered
  • Quantity - Number of units
  • Unit - Piece, hours, flat rate, etc.
  • Unit Price - Price per unit (net)
  • Tax Rate - 19%, 7%, or 0%
  • Discount - Optional, in % or absolute

Tip: Use text templates for frequently used line items. You can manage these under Settings > Text Templates.

Additional Fields

  • Introduction text - Text before the line items
  • Closing text - Text after the line items (e.g., payment terms)
  • Internal notes - Only visible to you, not on the PDF

Editing a Quote

  1. Open the quote from the list
  2. Make your changes
  3. Click on Save

Important: Already accepted quotes should not be modified. Create a new version instead.

Status Workflow

A quote goes through the following statuses:

Changing Status

  • Click on the status buttons in the top right of the quote
  • Or use the dropdown next to the status

PDF Export

Every quote can be exported as PDF:

  1. Open the quote
  2. Click on PDF or Cmd+P
  3. The PDF opens in a new tab
  4. Print or save the PDF

PDF Options

  • Letterhead - With or without your company design
  • Language - German or English
  • Line Items - With or without individual prices

Sending by Email

  1. Open the quote
  2. Click on Send Email or Cmd+E
  3. Customize the subject and text
  4. Click on Send

The PDF is automatically attached and the status is set to "Sent".

Converting Quote to Invoice

Once a quote has been accepted:

  1. Open the accepted quote
  2. Click on Convert to Invoice
  3. All line items are transferred to a new invoice
  4. Adjust the invoice as needed
  5. Save the invoice

Link: The invoice is automatically linked to the quote. You can see the link at any time in the document.

Duplicating a Quote

For similar quotes:

  1. Open an existing quote
  2. Click on ... > Duplicate
  3. The new quote receives a new number
  4. Adjust the details

Tips for Better Quotes

  1. Limit validity period - Create urgency
  2. Clear descriptions - The client should understand what they are getting
  3. Offer options - Show different packages/variants
  4. Professional design - Use your company logo and colors
  5. Respond quickly - The faster the quote, the better
