Client Management

Client management in dVersum allows you to centrally store and manage all important information about your clients.

Creating Clients

Creating a New Client

  1. Go to Clients in the sidebar
  2. Click New Client
  3. Fill in the master data

Required Fields

Client Types

Private Clients

  • Name: First and last name
  • No VAT ID required
  • Invoices always include VAT

Business Clients (Domestic)

  • Company name and optional contact person
  • Tax number optional
  • Invoices include VAT

Business Clients (EU)

  • Company name
  • VAT ID required for reverse charge
  • Automatic VAT ID validation available

Business Clients (Non-EU)

  • Company name
  • No VAT ID in DE format
  • Tax-exempt invoicing possible

Client List

Overview

The client list shows:

  • Name - Client name with type icon
  • Email - Contact email
  • Projects - Number of active projects
  • Outstanding - Unpaid invoice amounts
  • Last activity - Date of last interaction

Filtering and Sorting

Use the search (Cmd+K) to quickly find clients:

  • By name
  • By email
  • By company

Client Details

Overview Page

On the client detail page you can see:

  • Master data - Contact information
  • Projects - All projects for this client
  • Invoices - Invoice history
  • Quotes - All quotes
  • Time tracking - Recorded time
  • Activities - Timeline of all actions

Editing

  1. Open the client
  2. Click Edit or the pencil icon
  3. Change the desired fields
  4. Save

Contact Persons

For company clients, you can store multiple contact persons:

Adding a Contact

  1. Open the client
  2. Go to Contacts
  3. Click Add Contact
  4. Enter name, email, phone, and position

Setting a Primary Contact

  1. Click on ... next to the contact
  2. Select Set as Primary Contact
  3. This contact will be preselected for new documents

Addresses

Billing Address

The primary address for all invoices and quotes.

Shipping Address

If different, you can add a separate shipping address:

  1. Under Addresses -> Add Shipping Address
  2. This can be displayed on documents as needed

Client Numbers

Automatic Assignment

dVersum automatically assigns client numbers:

  • Format: K-0001, K-0002, ...
  • Sequential and unique

Custom Client Numbers

You can also use your own numbers:

  1. Open Settings -> Number Ranges
  2. Customize the client number format
  3. Or manually enter a number when creating a client

Import and Export

Importing Clients

  1. Go to Clients -> ... -> Import
  2. Upload a CSV file
  3. Map the columns
  4. Review the preview
  5. Confirm the import

CSV format:

Name,Email,Phone,Street,ZIP,City,Country
Sample Company GmbH,info@sample.de,030-123456,Sample St. 1,10115,Berlin,DE

Exporting Clients

  1. Filter the desired clients
  2. Click Export
  3. Choose the format (CSV or Excel)

Archiving Clients

Inactive clients can be archived:

  1. Open the client
  2. Click ... -> Archive
  3. Archived clients no longer appear in the default view

Viewing Archived Clients

  1. In the client list: Filter Status -> Archived
  2. Or All for both

Restoring

  1. Open the archived client
  2. Click Restore

Deleting Clients

Warning: Clients with invoices or projects cannot be deleted.

For clients without documents:

  1. Open the client
  2. Click ... -> Delete
  3. Confirm the deletion

Client-Specific Settings

Payment Terms

Individual payment terms for each client:

  1. Open the client settings
  2. Under Payment Terms:
    • Payment term - Days until due
    • Cash discount - Percentage and deadline
  3. These are automatically used for new invoices

Tax Rate

Default tax rate for this client:

  • Standard (19%)
  • Reduced (7%)
  • Tax-exempt (0%)

Discounts

Client-specific discounts:

  • Percentage or fixed amount
  • Suggested for new documents

Client Statistics

On the client page you can see statistics:

Tips

  1. Complete data - The more data, the less manual input for documents
  2. Validate VAT ID - Automatically validate for EU clients
  3. Use contact persons - For companies with multiple contacts
  4. Clean up regularly - Archive inactive clients
  5. Use notes - Document important information
