Time Tracking

Time tracking in dVersum allows you to precisely record working hours and use them for billing.

Timer Widget

Starting the Timer

From the dashboard:

  1. Select a project in the timer widget
  2. Click Start
  3. The timer runs

From a project:

  1. Open a project
  2. Click the timer icon (stopwatch)
  3. The timer starts for this project

By keyboard:

  • Press T to start/stop the timer

Stopping the Timer

  1. Click Stop
  2. The time entry is saved automatically
  3. Optional: Add a description

Timer Settings

Manual Time Entries

For retroactive recording:

  1. Go to Times in the sidebar
  2. Click New Entry
  3. Fill in:
    • Project - Which project
    • Task - Optional: Specific task
    • Date - Which day
    • Start time - Beginning of work
    • End time - End of work
    • Description - What was done
  4. Save the entry

Entering Duration Directly

As an alternative to start/end time:

  1. Enable Enter duration
  2. Enter the duration (e.g., "2:30" for 2.5 hours)

Managing Time Entries

Overview

In the time overview you can see:

  • Today - Today's entries
  • This week - Weekly summary
  • This month - Monthly summary

Filtering

FilterDescription

Team memberFilter by person (for admins)
BillableOnly billable time

Editing

  1. Click on a time entry
  2. Edit the details
  3. Save

Deleting

  1. Click on ... next to the entry
  2. Select Delete
  3. Confirm

Billability

Marking Time as Billable

  1. Open the time entry
  2. Enable Billable
  3. Optionally enter the hourly rate

Default Hourly Rate

  1. Go to Settings -> Organization
  2. Set the default hourly rate
  3. This will be used for new entries

Project Hourly Rates

For different rates on different projects:

  1. Open the project settings
  2. Enter the project hourly rate
  3. This overrides the default

Reports

Hours Overview

  1. Go to Times -> Reports
  2. Select the period
  3. View:
    • Total hours
    • Hours per project
    • Hours per team member
    • Billable vs. non-billable hours

Charts

Visual representation of your time tracking:

  • Bar chart - Hours per day/week/month
  • Pie chart - Distribution across projects
  • Trend line - Development over time

Export

  1. Select the period
  2. Click Export
  3. Choose the format:
    • CSV - For Excel/spreadsheets
    • PDF - For reports

Billing Time

Creating an Invoice from Time Entries

  1. Go to Times
  2. Filter by project and "Not billed"
  3. Select the entries to bill
  4. Click Create Invoice
  5. The time entries are added as line items

Billed Time

Billed time entries are marked and show:

  • The linked invoice number
  • The billing date

Team Time Tracking

As an admin, you can see all team members' time:

  1. Go to Times
  2. Select All team members
  3. Filter by person as needed

Approval Workflow (Optional)

  1. Team members submit time for approval
  2. Admins review and approve
  3. Approved time can no longer be modified

Reminders

Automatic Reminders

dVersum reminds you:

  • Daily reminder - When no time has been recorded for today
  • Weekly summary - Overview of your weekly hours

Configuring Reminders

  1. Go to Settings -> Notifications
  2. Enable/disable time tracking reminders
  3. Choose the reminder time

Integration with Invoices

Time entries can flow directly into invoices:

  1. Individual items - Each entry as a separate line item
  2. Grouped - Summarized by date or description
  3. Flat rate - All time as one line item with total amount

Tips

  1. Start the timer immediately - Don't forget to track time
  2. Use descriptions - Makes billing easier later
  3. Check regularly - Review time weekly
  4. Link tasks - For accurate project analysis
  5. Break times - Remember breaks when entering time manually
