When your PDF template defines rich-text blocks, you can fill in your own text per invoice or quote — like a project-specific intro or a personal closing line — without changing the template.

Per-document text fields (block overrides)

A PDF template defines the layout (header, recipient, line items, totals, footer). With rich-text blocks inside the template you can additionally put your own text on each document — like an intro, a note, or a personal closing linewithout changing the template itself.

That way a single template serves hundreds of different invoices with individual text.

Prerequisite: rich-text blocks in the template

To fill in per-document text, the assigned PDF template must contain at least one rich-text block. These are defined in the Block Builder (Team plan) inside the PDF Templates management.

Each rich-text block in the template has:

  • a position in the layout (e.g. between recipient and line items)
  • styling (font size, color, alignment)
  • a placeholder text that appears when the document has no custom text

Fill in custom text per document

  1. Open the invoice or quote in the editor.
  2. Scroll to the Document texts section (only appears if the assigned template contains rich-text blocks).
  3. For each block you see a text field with the block's label and the current placeholder from the template.
  4. Type your own text — formatting (bold, italic, lists) is supported.
  5. Save the document.

When the PDF is generated, dVersum puts your text at the position the template defined. Other documents using the same template stay untouched.

Have Vero write it

You can ask the AI assistant Vero to write the text for you:

"Write a short, friendly intro for the invoice to Müller GmbH about the UX redesign project."

Vero recognises the active document and writes the text straight into the right block. Available tools: set_invoice_text_slot, set_quote_text_slot.

dVersum tip

Add a rich-text block directly below the recipient in your PDF template, labelled "Cover note", with a meaningful placeholder — e.g. "Personal intro — customise before sending". That way you never forget to personalise the text before sending.
