Team Planning & Absences

With team planning, you keep track of all absences in your team. The Gantt-style view shows at a glance who is available and when.

The Gantt View

Team planning displays all team members stacked vertically on a timeline. Each row represents a team member, and colored bars mark their respective absences.

  • Month view: The view shows one month at a time
  • Switching months: Use the left and right arrow buttons to scroll between months
  • Today marker: The current day is highlighted on the timeline

Admin View vs. Employee View

The 5 Absence Types

Each absence type has its own color for quick recognition:

Creating an Absence

The fastest method:

  1. Find your row in the team overview
  2. Click and hold on the start date in the timeline
  3. Drag to the end date
  4. Release -- the absence modal opens automatically
  5. Select the absence type
  6. Optionally add notes
  7. Click Save

Via Modal

  1. Click on + Absence or on an empty day in your row
  2. Select the absence type
  3. Set the start date and end date
  4. Optionally add notes (e.g., "Doctor's appointment in the morning")
  5. Click Save

Editing an Absence

  1. Click on an existing absence bar
  2. The detail modal opens
  3. Change the type, period, or notes
  4. Click Save

Self-management: You can only create, edit, and delete your own absences. Other team members' absences are visible but not editable.

Deleting an Absence

  1. Click on the absence bar
  2. Click Delete
  3. Confirm the deletion

Half-Day and Multi-Day Absences

dVersum supports various time periods:

  • Half day: Select the same start and end date and mark the absence as half-day (e.g., "Doctor's appointment in the morning")
  • Single day: Start and end date are the same
  • Multi-day: Start date is before the end date (e.g., a week of vacation)

The Notes Field

Use the notes field for additional information:

  • Reason for absence (e.g., "Trade fair in Munich")
  • Availability ("Reachable via email")
  • Substitute notes ("Substitute: Max Mustermann")
  • Part-time information ("Only absent in the morning")

Tips for Team Planning

  1. Enter early -- Enter planned vacation as early as possible so the team can plan ahead
  2. Use home office -- Also enter home office days so colleagues know who is in the office
  3. Maintain notes -- Leave substitute notes for longer absences
  4. Check regularly -- Review the team overview before project planning to avoid bottlenecks
  5. Document business trips -- Enter business trips so the team knows your availability
